Please read these Terms and Conditions carefully before using our website or engaging our services. By using hannagibbins.co.uk or booking personal training or online coaching with Hanna Gibbins, you agree to be bound by these terms.

1. Our services

We offer in-person personal training at our private studio in Bournemouth, and online coaching programmes including The Balance Method. All services are intended for individuals aged 18 or over, unless a parent or guardian has provided written consent.

2. My commitment to you

Confidentiality

All information you provide will be kept in confidence. Your personal details and medical information will not be shared with third parties unless you have given permission for us to do so.

Recommendations

Using my judgment and experience, I will suggest exercises and lifestyle guidance that I believe will help you achieve your goals. If you have specific requests at any time, please let me know so I can accommodate them.

Referral

I work within the scope of my knowledge and qualifications. Where I believe it is in your best interests to see another health professional, I will refer you appropriately. I am not able to prescribe treatment or diagnose medical conditions. Should you experience any pain, discomfort, or injury during a session, please inform me immediately.

3. Your responsibilities

Disclosure of information

Please disclose all relevant health information at our initial consultation and keep me updated of any changes to your health status. This includes medical conditions (physical and mental), injuries, allergies, and any medication you are taking. I cannot be held liable for undeclared or unknown medical conditions. Where necessary, you may be required to seek clearance from your GP before beginning a programme.

Honesty, communication and commitment

For you to achieve results, we both need to be committed to your programme. If you are struggling or experience setbacks, please be open with me so we can work through it together. While I can give you the tools and encouragement to reach your goals, ultimately you need to take responsibility for making the required changes. Please keep me informed of any issues and raise any questions or concerns at any time.

4. Health disclaimer and informed consent

By engaging our services, you confirm that you are voluntarily choosing to participate in a progressive exercise programme in an effort to improve your physical wellbeing, and that you understand the following:

  • There are always risks associated with physical activity. These can include changes in blood pressure or heart rate, muscle soreness, muscle strains, fainting, and in rare cases more serious cardiac events.
  • The reaction of your body to exercise cannot always be predicted with complete accuracy.
  • You must inform me immediately of any unforeseen symptoms including undue fatigue, chest pain, dizziness, or discomfort at any point during a session.
  • You are free to discontinue a session at any time should you be in distress.
  • If you have any questions about the methods or exercises used, you should ask me directly.

The potential benefits of your programme include improved cardiovascular health, reduced risk of chronic disease, improved muscular and skeletal function, and an increased quality of life.

By booking and participating in sessions, you confirm that you have read and understood these terms and consent to participate voluntarily.

5. Bookings and payments

All payments must be made in full prior to any sessions being undertaken. There will be a 12-week initial commitment period, after which training continues on a month-by-month basis with payment due in advance on the agreed date.

In the event that you do not use the services during the initial term, you remain responsible for payment in full for that period.

All standing order sessions must be used within the month to which they relate. Unused sessions will not be carried over into the following month and will be lost without refund. This ensures I can deliver all your required sessions and help you reach your goals.

6. Cancellation policy

Cancellations by me

  • If I cancel your session with less than 24 hours' notice, I will make up the session at no charge to you.
  • If I cancel with more than 24 hours' notice, I will reschedule as soon as possible.

Cancellations by you

  • If you cancel with 48 or more hours' notice, a £10 administration fee will apply. Your session will be rescheduled, but no further sessions can be arranged until this fee is paid.
  • If you cancel with less than 24 hours' notice, or fail to attend, no refund will be given.

Late arrivals

  • If I am more than 15 minutes late for your session, you will receive one free hour of personal training at a mutually convenient time.
  • If you are late, your session will be reduced accordingly and charged at the normal rate.
  • If you are more than 20 minutes late, the session may be cancelled and you will be charged for the full session.

7. Extensions and deferrals

Personal training packages may be extended for between one and 12 full calendar months in the following circumstances only:

  • Pregnancy
  • Serious illness
  • Serious injury
  • Redundancy

Proof may be requested in any of the above situations. Any other extensions are at my sole discretion.

8. Online coaching and check-ins

As part of your online coaching programme, I will send you a weekly check-in form via my app or by email. You agree to complete and return this form by 07:00 on the Sunday of the relevant week, unless we have agreed otherwise. This allows me time to review your progress, provide feedback, and make any adjustments needed for the following week.

If you are unable to complete your check-in for any reason, please contact me as soon as possible. If I do not receive your completed check-in by the time stated, I will unfortunately be unable to provide feedback for that week.

9. Results and outcomes

I am committed to providing the highest quality coaching and personal training. However, individual results will vary and I cannot guarantee specific fitness or health outcomes. Progress depends on many factors including your consistency, effort, and individual circumstances.

10. Website use

You agree to use hannagibbins.co.uk only for lawful purposes and in a way that does not infringe the rights of others. We make reasonable efforts to keep the website accurate and up to date but cannot guarantee that all information is error-free or complete. We reserve the right to restrict access to the website at any time without notice.

11. Intellectual property

All content on this website, including text, images, graphics, and programme materials, is owned by or licensed to Hanna Gibbins. You may not reproduce, share, or distribute any content without prior written consent.

12. Limitation of liability

To the fullest extent permitted by law, we shall not be liable for any indirect, incidental, or consequential loss arising from your use of our services or website. Our total liability shall not exceed the amount paid for the specific service giving rise to the claim.

Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

13. Data protection

All information you provide is handled in accordance with our Privacy Policy and the UK General Data Protection Regulation (UK GDPR). Your data will be kept secure and confidential and will not be shared with third parties except where required by law.

14. Governing law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

15. Changes to these terms

We may update these Terms and Conditions from time to time. The updated version will be posted on this page with a revised date. Continued use of our services after any changes constitutes acceptance of the updated terms.
